AMS CUSTOMS WAREHOUSE MANAGEMENT

Digital customs warehouse management for airports and FBOs

aerops maps inventories, receipts and issues, refuelling transactions and customs- and energy-tax-related evidence in one continuous digital process. Quantities can be converted automatically to the reference volume at 15 °C and linked to fuel management, invoicing and reporting.

Document customs and energy-tax processes digitally

Receipts, issues, refuelling transactions and corrections are recorded completely in the system. Every movement remains traceable with its time, quantity, fuel type, customer, aircraft and operator.

This creates a reliable warehouse history for internal controls, inventory reconciliation and cooperation with customs and tax authorities – without parallel lists or unnecessary paperwork.

Automatically convert fuel quantities to 15 °C

For consistent energy-tax inventory records, aerops automatically converts recorded fuel quantities to the reference volume at 15 °C. Temperature and density values can be incorporated directly from the fuel and warehouse process.

The standardized quantity is then available for inventory records, delivery notes, analysis and reporting. Manual conversion tables and error-prone spreadsheets are no longer required; source values and results remain fully traceable.

Certified in Germany and Austria

aerops Customs Warehouse Management is certified for use in Germany and Austria.

Use in other countries must be assessed individually. Based on the existing certifications, the solution is generally accepted there. On request, we clarify the requirements together with the operator and the responsible authorities.

Customs permits and AOCs available across aerops

Customs permits and Air Operator Certificates (AOCs) stored in the system help identify eligible aircraft and operators and assign them to the intended customs and energy-tax process.

The documents are shared across aerops between connected airports operating bonded fuel stores. When a permit is added, it is immediately available at the other connected locations.

Important: Digital availability does not replace the required visual inspection of the original document.

Connect fuel management and customs warehousing seamlessly

Together with aerops Fuel Management, the solution creates an end-to-end workflow from the imported fuel transaction and customer or aircraft allocation to customs documentation.

Fuel data, standardized quantities, digital delivery notes and invoicing information do not need to be entered repeatedly. This reduces transfer errors and speeds up customs-relevant refuelling processes.

Keep inventories, receipts and issues fully traceable

Current stock, receipts, issues and correction postings are managed centrally. Operators can analyse movements by fuel type, tank, period, location, customer and aircraft.

Digital delivery notes and associated documents remain linked directly to each transaction. Inventory discrepancies become visible sooner and can be investigated using the complete booking history.

Prepare reports, analyses and audits faster

All relevant warehouse and fuel movements are available in a structured format for periodic analysis, reporting and audits. Periods and transaction types can be filtered and exported for further processing.

Complete histories and clearly assigned documents shorten the preparation of reconciliations and audits. Authorized employees work with one shared, current data set.

For individual locations and airport groups

Customs Warehouse Management is suitable for airports, FBOs, fuel depots and fuel station operators that are organizationally separate from the airport. Roles and permissions ensure that users only manage the locations and processes assigned to them.

Airport groups receive a consolidated overview of inventories and movements across connected locations, while site-specific responsibilities, warehouses and analyses remain clearly separated.
